Guest Service Managers - APS Unipod Stirling Center
APS Unipod Global is seeking enthusiastic, service-oriented, and highly professional Guest Service Managers to join our Front Office and Guest Relations team at APS Unipod Stirling Center. As the face of the Centre, Guest Services Managers will be responsible for delivering exceptional customer service while ensuring the smooth operation of the reception, front office, reservations, concierge, travel coordination, and resident support services.
The Guest Service Managers will be the first point of contact for students, parents, university representatives, visitors, and guests, providing a welcoming and professional experience at every interaction. This is a rotational shift-based position, with four full-time vacancies. Staff will work in teams of two on 12-hour day and night shifts, ensuring uninterrupted 24/7 guest service and operational support.

Key Responsibilities
Front Office and Reception Management
Manage the Centre's reception and front desk operations on a 24-hour rotational basis.
Welcome residents, parents, guests, contractors, and visitors with professionalism and warmth.
Handle resident check-ins, check-outs, and room allocations.
Verify guest identity and maintain visitor records.
Maintain an organized, professional, and welcoming reception area.
Answer telephone calls, emails, and online enquiries promptly.
Provide accurate information regarding accommodation, facilities, and Centre policies.
Coordinate reception handovers between shifts.
Monitor the reception area and report unusual incidents immediately.
Guest Relations and Resident Services
Deliver exceptional customer service to all residents and visitors.
Build positive relationships with students from diverse cultural backgrounds.
Respond promptly to resident enquiries and requests.
Resolve guest complaints professionally and efficiently.
Escalate complex issues to the Operations Manager when required.
Assist new international students in settling into the Centre.
Provide local orientation and helpful information about Stirling and surrounding areas.
Support student wellbeing by maintaining regular communication with residents.
Ensure every resident enjoys a welcoming and comfortable living experience.
Reservation and Bookings
Manage room reservations and accommodation bookings.
Coordinate student arrivals and departures.
Maintain accurate occupancy records.
Process booking confirmations and amendments.
Update room availability in the accommodation management system.
Coordinate early arrivals, late departures, and special requests.
Prepare welcome packs and arrival documentation.
Liaise with Housekeeping and Maintenance to ensure rooms are ready for occupancy.
Concierge Services
Provide concierge assistance to residents and visitors.
Assist with parcel and courier management.
Coordinate taxi bookings and local transportation.
Recommend local restaurants, shopping centres, healthcare facilities, and tourist attractions.
Assist residents with local registrations and community information.
Coordinate visitor appointments.
Provide general administrative assistance as required.
Travel Desk Coordination
Assisting students with airport transfers.
Coordinating taxi bookings and shuttle services.
Supporting travel itinerary confirmations.
Liaising with APS Uni Fly consultants regarding travel schedules.
Providing guidance on local public transport.
Coordinating transportation for university events and student activities.
Assisting residents during emergency travel situations where required.
Digital Guest Services
Respond professionally to online enquiries.
Assist with online booking requests.
Support resident communication through digital platforms.
Coordinate digital announcements and resident notifications.
Assist the Community Manager in promoting Centre events and activities.
Student Welfare Support
Provide frontline assistance to students requiring immediate support.
Coordinate with the Community Manager on student engagement activities.
Report welfare concerns promptly to senior management.
Assist international students during emergencies.
Support parents by providing updates within Centre policies.
Ensure residents receive timely assistance whenever required.
Administrative Responsibilities
Maintain accurate resident records.
Process incoming and outgoing correspondence.
Prepare daily shift reports.
Maintain visitor logs and key registers.
Manage lost and found records.
Support departmental administrative tasks.
Assist in preparing occupancy and operational reports.
Safety and Security
Monitor access control procedures.
Ensure visitor management protocols are followed.
Conduct routine security observations during shifts.
Report maintenance and safety issues immediately.
Assist during emergency evacuations.
Coordinate with security personnel when necessary.
Ensure compliance with health and safety procedures.
Communication and Coordination
Work closely with Housekeeping, Maintenance, Security, Community Management, Operations, and Finance departments.
Coordinate resident requests across departments.
Participate in daily operational briefings.
Maintain professional communication with APS Headquarters when required.
Essential Qualifications
Bachelor's degree in Hospitality Management, Hotel Management, Tourism, Business Administration, Customer Service, or a related discipline.
Minimum 2 years of experience in front office, guest relations, hospitality, customer service, or student accommodation.
Excellent spoken and written English.
Outstanding interpersonal and communication skills.
Strong organisational and multitasking abilities.
Good computer literacy, including Microsoft Office.
Ability to work rotational day and night shifts.
Preferred Qualifications
Experience in hotels, serviced apartments, student accommodation, or residential communities.
Experience with reservation or property management systems.
Knowledge of international student services.
Additional language skills are an advantage.
